Your Purpose:

Based in our Warrington office, and acting as a key member of the Team, this opportunity is for a hands-on Project Coordinator Assistant to support the other team members to provide the projects, financial and accounting link between the Management Team, Financial and Accounting Team, the Project Managers and Bid Managers.  This role is multi-purpose and involves a significant amount of multi-tasking.  It also requires a good practical knowledge of the MS Excel and the ability to summarise information in a concise way.

The role involves supporting and coordinating a number of essential project and operational activities and functions, which ultimately involves supporting the business to make a profit on its activities and projects and also supports in managing and mitigating risks from our operational work. All of which means the role is key such that the projects, and therefore the business, can operate in a cost effective and efficient manner each and every day.

The team of Project Coordinators have the following roles and responsibilities:

  • Timesheets - Processing - Entering timesheets in SAP and Company Information Menu (CIM) and issuing to clients as required.
  • Exports - Run weekly exports from SAP and import to CIM.
  • Utilisation Reports - issue and distribution.
  • Client Reporting - dependent on the client and the project.
  • Month-end Reporting - assisting with the production of the reports for issue to the financial team including the calculation of Work in Progress (WIP).
  • Project Accounting Reviews – attend PARs meeting to update Operational and Finance Management on project performance and estimates to completion.
  • Credit control.
  • Processing Purchase Orders (CTRs) for Sub-Contractors.
  • Processing Sub-Contractors invoices, checking to CTRs and submitting to Project Managers for approval.
  • Calculation of month end Sub-Contractor accruals.
  • Supporting Bid Managers, including assistance with preparation and issue of proposals, opening and closing jobs in SAP.
  • Supporting Project Managers with all financial aspects related to projects, ensuring that correct Cost and Sales rates are applied on every occasion.
  • Providing information for audits, within the company and for various clients.
  • Support Finance Director, Finance Manager and Operations Staff with ad-hoc reporting as required.

What you can bring:

  • Candidate must have experience in the use of Excel, preferably to Advanced level (e.g. Pivot Tables, VLOOKUP, IF, SUMIF formulas).
  • Proven work experience as a Project Coordinator or a similar role would be beneficial. 
  • Set an example of professional behaviour and attitude at all times.
  • Have a focused attitude and exceptional attention to detail.
  • Work effectively in teams, demonstrating the ability to build relationships and work productively in a team and project.
  • Demonstrate a good ability to solve problems and getting work completed efficiently, sometimes whilst managing multiple responsibilities.
  • Deliver written and oral communications effectively, delivering appropriate and relevant messages in a constructive manner.
  • Work productively and efficiently towards defined objectives and deliver results.
  • Ambition and aptitude to learn within a fast-paced working environment.
  • Driving Licence (Preferred)
